Club Assist Requirements

Clubs can achieve a Club Assist Award based on their recommendations achieved.

ESTABLISHING THE CLUB'S RECOMMENDATIONS:

Once the club's self assessment information is collected by a Development Team member through verbal and physical evidence, it is then analysed and recommendations are made to the club as to what needs to be improved on. The club's self assessment score largely determines the type of recommendations suggested however honest verbal communication from the club will also influence the types of recommendations made. There are some elements of an organisation which are essential for its day to day effective operation, for example all clubs should have clear, written job descriptions for committee & sub committee office bearers. Therefore if this element has not been established within the organisation it will become a compulsory area for improvement.

A maximum of seven recommendations will be suggested per club regardless of whether or not there are more than seven elements within the organisation to be improved upon. As mentioned above there are essential elements in the day to day operation of the club and these will become a compulsory area for improvement if they have not already been implemented by the club.

SIGNING OFF ON THE CLUB'S RECOMMENDATIONS:

The recommendations are compiled and given to the club as a draft letter. The letter will state what needs to be achieved and give suggestions on how the club can go about achieving the recommendations set. The club are then required to meet to discuss the recommendations. If the club requires further explanation regarding the recommendations set and the process in which they are required to go about achieving them a member of the Development Team will meet with the club to explain this in further detail.

Once the club has agreed to the recommendations set they are required to sign off on them acknowledging that the club understands what is required of them and what is expected of Sport Gisborne Tairawhiti in order to achieve the Club Assist Award. The signing off on the recommendations will be done through a memorandum of understanding.

CLUB ASSIST REQUIREMENTS:

Based on the number of recommendations that each club achieves through formal evidence within the stated twelve month period they will receive a Club Assist Award. Clubs need to achieve at least 5 out of the seven recommendations to achieve a Club Assist standard. The level at which the club has achieved will be detailed in the letter of support provided by Sport Gisborne Tairawhiti e.g. clubs who achieve all seven recommendations will be provided with a support letter outlining each of the seven the recommendations the club has achieved.

Please note that achieving Club Assist is comparative to the size of a club. It is all about the individual club implementing the recommendations to the best of the club's ability and ensuring they are satisfied they are doing all they can in those areas.

Because capability and sustainability is being addressed by the Club Assist tool, clubs should not be compared to other clubs as resources from club to club vary greatly.

TIME LIMIT:

The Development Team is able to help implement any changes or improvements recommended. The timeframe in which clubs have the dedicated support of the Development Team to complete the recommendations is 12 months from the date that the Memorandum of Understanding is signed. Although support will not cease entirely it will become limited after the 12 months as new clubs will be recruited into the programme.

FORMAL EVIDENCE:

During the 12 month period, when the recommendations have been implemented by the club, the club must prove the recommendations have been implemented through formal evidence e.g. written documentation in the form of policies or minutes. After sufficient evidence has been sighted by a member of the Development Team, Sport Gisborne Tairawhiti will present the club with the "Club Assist" Award either.
