Below outlines what role Sport Gisborne Tairawhiti and the individual club is to play in the overall Club Assist process and the delivery of the Club Assist tool:
Sport Gisborne Tairawhiti will:
- Initially meet with the clubs chairman/president or secretary to brief them on the Club Assist process and the Club Assist tool
- Follow up the club to confirm their attendance and inform them of any further information required to carry out the session
- Be the deliverer of the tool
- Administer the results of the tool
- Develop the draft letter of recommendations to be forwarded to the club's secretary
- Meet with the club representative(s) to ensure understanding of the recommendations set and what is required of the clubs to complete the process
- Sign off on the final recommendations set and finalise MOU
- Organise follow up meetings re progress and assistance
- Provide assistance and support in ensuring that the clubs complete the recommendations set for them
- Provide information re seminars to be delivered by Sport Gisborne Tairawhiti
- Obtain formal evidence from the club re completion of the recommendations
- Organise a framed certificate recognising the club's achievement, and a letter of support which can be used when making applications for grants as the letter will acknowledge the processes and outcomes that the club has gone through to achieve the Club Assist Award
- Coordinate media coverage re the presentation of the award and acknowledge the clubs success in the Sport Development newsletter
- Presentation of the Club Assist Award to the successful club
The Club will:
- Contact Sport Gisborne Tairawhiti acknowledging their interest in becoming a Club Assist Club
- The clubs chairman/president or secretary to meet with Sport Gisborne Tairawhiti for a briefing on the Club Assist process and the Club Assist tool
- Organise for no more than 12 and no less than 5 people to attend the delivery of the Club Assist tool - these people need to represent a cross section of the club
- Attend the delivery of the tool
- Once the draft letter of recommendations have been received hold a meeting to go over the recommendations set - prepare questions to meet with Sport Gisborne Tairawhiti to clarify understanding
- Sign off on the final recommendations and the MOU
- Implement the recommendations - gather formal evidence
- Contact Sport Gisborne Tairawhiti to ask for assistance and support in completing the recommendations set
- Provide formal evidence that the recommendations have been completed
- The clubs chairman/president is to be available at the Club Assist presentation
